Data Retention Policy

Last Updated: January 5, 2026

This Data Retention Policy explains how Brelak Sontu collects, stores, and deletes personal data and other information in connection with the services provided through brelaksontu.com. By using our services, you acknowledge the practices described in this policy.

1. Purpose of This Policy

We retain data only for as long as necessary to fulfill the purposes for which it was collected, to provide and improve our services, to comply with applicable legal obligations, to resolve disputes, and to enforce our agreements. This policy defines the categories of data we hold, the retention periods that apply, and the procedures we follow when data is no longer needed.

2. Categories of Data We Retain

2.1 Account and Registration Data

When you create an account or register for our services, we collect information such as your name, email address, and account credentials. This data is retained for the duration of your active account relationship with us and for a defined period after account closure as described in Section 4.

2.2 Communication Data

Records of communications between you and Brelak Sontu, including emails, support messages, consultation notes, and feedback submissions, are retained to maintain service continuity, resolve disputes, and improve service quality.

2.3 Transaction and Billing Data

Financial records related to purchases, payments, refunds, and invoices are retained in accordance with standard accounting and record-keeping obligations. This data is kept separately from general account data and held for the period required by applicable financial regulations.

2.4 Usage and Technical Data

Technical information generated during your use of our platform — including log files, IP addresses, session identifiers, device information, and usage patterns — is collected automatically to support security, performance monitoring, and service improvement. This data is generally retained for shorter periods than account data.

2.5 Consultation and Service Content

Content created or shared during consultations, including submitted materials, session records, and related documentation, is retained to deliver the contracted service and to support any follow-up or dispute resolution needs.

2.6 Marketing and Preference Data

If you have opted in to receive marketing communications or have set preferences regarding how we contact you, that preference data is retained until you withdraw consent or request deletion, at which point it is updated or removed promptly.

3. Retention Periods

3.1 Active Accounts

All data associated with an active account is retained for as long as the account remains open and the service relationship is ongoing. We do not apply automatic expiry to data while an account is active.

3.2 Inactive Accounts

An account is considered inactive if there has been no login, transaction, or meaningful interaction for a continuous period of twenty-four (24) months. Prior to data deletion, we will attempt to notify you at the email address on file and provide an opportunity to reactivate your account or export your data.

3.3 Closed or Deleted Accounts

When an account is closed or deleted at your request, personal data directly associated with that account is scheduled for deletion within ninety (90) days of the closure date. Certain residual data may be retained in anonymized or aggregated form for analytical purposes where it can no longer be linked to you as an individual.

3.4 Transaction and Billing Records

Financial and billing records are retained for a minimum of seven (7) years from the date of the transaction to satisfy standard accounting and audit requirements, even after an account is otherwise closed.

3.5 Technical and Log Data

Server logs and technical usage data are generally retained for no longer than twelve (12) months, after which they are automatically purged or anonymized. Security-related logs may be retained for up to twenty-four (24) months where required for incident investigation.

3.6 Legal Hold

If data becomes subject to a legal hold due to pending litigation, regulatory inquiry, or other legal process, standard deletion schedules are suspended for the duration of that hold. Once the hold is lifted, normal retention and deletion procedures resume.

4. Data Deletion and Disposal

4.1 Deletion Methods

When data reaches the end of its retention period, it is permanently deleted from active systems. Where data exists in backup media, it is removed as part of the regular backup rotation cycle, which typically completes within one hundred eighty (180) days of the scheduled deletion date.

4.2 Anonymization as an Alternative

In some cases, rather than deleting data outright, we may anonymize it so that it can no longer be linked to any identifiable individual. Anonymized data is no longer subject to this policy and may be used for aggregate analysis, reporting, and service development indefinitely.

4.3 Third-Party Data Processors

Where we share data with third-party service providers acting as data processors on our behalf, we require those providers to adhere to data retention and deletion standards consistent with this policy. Upon termination of a processing relationship, we require confirmation that data has been deleted or returned.

5. Your Rights Regarding Your Data

You have the right to request access to the personal data we hold about you, to request correction of inaccurate data, and to request deletion of your data where no overriding legitimate purpose or legal obligation requires its continued retention. To exercise any of these rights, please contact us using the details provided below. We will respond to verified requests within a reasonable timeframe and in any case no later than thirty (30) days of receipt.

6. Data Security During Retention

Data retained by Brelak Sontu is protected by appropriate technical and organizational security measures, including access controls, encryption where applicable, and regular security reviews. Retention periods are designed to minimize the volume of personal data held at any given time, reducing the scope of potential exposure.

7. Changes to This Policy

We may update this Data Retention Policy from time to time to reflect changes in our practices, services, or applicable requirements. When we make material changes, we will update the date at the top of this page and, where appropriate, notify you through the contact information associated with your account or via a notice on our platform. Continued use of our services after any update constitutes acceptance of the revised policy.
